How to make a digital planner with clickable links

You can easily make a your own digital planner with clickable links using PowerPoint. Use this tutorial as a guide to make your own design.

The Front Cover

To get started, open a slide and change the layout to blank. If you would like to add a background image you can do so next.

Insert a rounded rectangle shape and decrease the rounded edge till you are happy with the shape. Change the size of the shape. The size I used is 7.06 height and 6.23 width.

Choose the color for your planner and select no outline. Insert a new rounded rectangle shape inside the one you just made and decrease the rounded edge of the shape till it is the same as the previous shape.

For the shape fill, select no fill and for the outline choose white. Change the height to 6.8 and the width to 5.96 then centre the shape to align evenly inside the previous shape

For the shape outline change to weight to 2 1/4 and select square dots under in the dashes tab.

Insert your binder rings image and position it to the left. The image needs to be a png file with a transparent background.

For the title of the notebook planner, insert a rounded rectangle shape towards the top of the backcover. Choose white for fill color, shape outline light grey and select 10 point soft edge.

Change the height of the shape to 1.53 and width to 4.2. Centre the shape. Insert a text box into the middle of the shape and type in your title. The font I used is Britannic Bold and size 28.

Select all the elements and move the planner down as close to the bottom as possible.

Inserting Clickable Tabs

Select the snip single corner rectangle shape and push top right edge to the left as far as it can go to get the slanted edge.

Adjust the size by making it small enough for 5 more tabs. Leave a gap at the left and make the edge of the shape long enough to overlap the backcover by a small amount.

Select the shape and hold shift + ctrl and drag to the right to copy shape until you have 6 tabs. Change the colors of your tabs and select all and centre if necessary.

Insert a text box on top of the first tab and type in the first 3 letters of the January. The font I used is Britannic Bold and size 16.

Centre the text onto tab if necessary. Copy text box to all tabs and change the text to the relevant months. Select all tabs and text boxes that was just made, right click and group.

Copy the tabs, then click format and rotate right 90°. Position the tabs until it is centre aligned. Right click and ungroup the tabs and go to format then send to back. Add the last 6 months to the text boxes.

Select the top tabs, right click, ungroup then send to back.

Duplicate the slide 12 times until you have 13 slides so that we can have the pages to link to.

To create the links, select the first tab and select the shape only. Copy the shape and drag just below. Move the copied shape directly ontop of the shape you just copied.

Right click and format the shape. Click on no fill and no line. You will now have a transparent shape. Go to insert, click on hyperlink, select place in this document, click on slide 2 then click ok.

Follow the same steps for all remaining tabs on the top and the tabs on the right and link to all 12 slides.

Create Inside Cover & Pages

Go to slide to and delete all elements except the back cover. Change the height to 6.92 and width to 12.8. Center the shape in the middle of the slide. Leave enough room at the top for the top tabs.

Insert a rounded rectangle shape inside the shape and select no fill with white color outline. Decrease the rounded edge of the shape till it is the same as the previous shape.

Change the height to 6.73 and width to 12.6. For the shape outline change to weight to 2 1/4 and select square dots under in the dashes tab. Align the shape to the center of the back shape to make the stiching.

Insert png image with binder rings into the middle of the shapes.

To make the pages, insert a rounded rectangle shape. Decrease the rounded corner again, change fill color to white and choose no outline.

Click on shape effects and choose offset left. Change the height to 6.5 and width to 6.1. Align image to center and move to the left really close to the stitching, click on format then click on send backward

Copy and drag the page to the right. Align close to the stitching edge. Click send backward and change the shadow to offset right.

Go back to the first slide and select all top tabs and text boxes, right click and copy. Go back to slide 2 right click and use the first paste option.

Copy the tabs on the right side from slide 1 to slide 2 the same way. Move the top and side tabs into place and send backward.

Select the Jan tab and text and move it to the right. Leave a gap at the left end about the same size as the gap after the Jun tab. Click on format then bring to front so that the whole tab is at the front of the page.

Select all the elements, copy, go to the next slide, delete all the elements on that slide and paste the same way like you pasted the tabs.

Select the the Jan tab and text and move backward. Select the Feb tab and text then move next to the Jan tab. Click format then bring to front. Select all the elements, copy and repeat the same process until you have completed all slides.

Design The Pages

For the calender insert a 4×5 table. Choose medium style 4 for the table style. Select the whole table and fill white. Change the height to 4.75 and width to 5.37. Move the table closer to the bottom of the page.

Insert a 1×4 table, choose medium style 4 for the style and fill with white. Move the table directly ontop of the previous table.

Select both tables and copy and drag to the right page. Right click on the bottom table and delete 1 column. Do the same with the top table.

Type in the days of the week into the top tables. The font I used is Arial Narrow size 14. Center the text.

Insert a text box into the space on the left page. Type in the first month. The font I used is Freestyle Script size 60. Center the text.

Insert the dates into the table and move it to the right. I used Arial Narrow size 10

Insert a text onto the page on the right in the top left corner. Type in Notes, change the font to Arial Narrow size 16.

Insert a line shape at the bottom of the text box and change the color to light grey. Copy more line shapes until the open section of the page is filled.

Select all the elements on the page, right click , copy, go to the next slide and paste, Change the Month and dates. Repeat for all remaining slides.

That’s it. You now have a planner with clickable links. You can test you links by viewing your slides in presentation mode and clicking on the links. Once you done, save as pdf and your digital planner is ready.

This planner can be used with any pdf annotation software such as xodo for android, pdf annotator for windows and goodnotes for Ipad.
